Guest Coordinator

The role of the Guest Coordinator is to further the ministry of Waukaway Springs by providing courteous and consistent communication with all guest groups. This role serves as the point person for guest group leaders - walking with guest group leaders from their initial contact, booking, coordinating needs, through final payment and follow-up. This position will provide oversight and guidance in the following ways:

  • Help discern guest group needs and how Waukaway can partner with their ministry.

  • Manage the calendar – booking groups, tours, and interviews.

  • Give proper pricing to each group.

  • Enter all data into our financial software (QuickBooks).

  • Take payments and document them into QuickBooks.

  • Ensure timely deposits into bank account. 

  • Stay in contact with group leaders about due dates and the documents they need.

  • Work with Program Director to coordinate schedules and meeting spaces when there is more than one group present.

  • Assist with recruiting for summer staff.

  • Assist with interviews and hiring for summer staff.

  • Assist with giving tours when needed.

  • Pay bills.

  • Communicate group needs to Program Director (i.e. AV needs, staffing needs, and any special setup.)

  • Ensure proper staffing of the camp store. 

  • Communicate needs of camp store inventory.

  • Assign housing for each group to accommodate the number of people and the gender breakdown.

  • Ensure feedback forms are provided to all guest groups and communicate responses with the rest of the staff.

  • Reach out to past group leaders about upcoming events (programmed events).

  • Follow-up with guest groups looking to book future events.

As a member of our summer staff, you are part of a team that is responsible for making sure that the groups who attend are able to have a fun, exciting, safe camp experience, while having the opportunity to share with the campers about the love of Christ. As a summer staff member, your job is to facilitate activities, meals, and events so that group leaders can be free to interact with their students and allow the Holy Spirit to have an impact on their lives.

All staff take part in the American Red Cross Lifeguard/First Aid/CPR/AED course, and are trained to serve as lifeguards at the waterfront.  You will be trained to lead team-building/leadership training activities and recreational games. You will also be trained in various food service, housekeeping, and customer service skills. In addition, some summer staffers may be taught other skills such as campfire building, running a sound board for worship, making pancakes, and much more!!
